Media Traffic Coordinator

Who we’re looking for:

The Media Traffic Coordinator’s main responsibility is to support media activities at AdFarm. As a liaison between departments, this individual ensures the continuous flow, accuracy and timely delivery of all projects.  While this role is within the media team, the Media Traffic Coordinator regularly works across teams within the agency including account services, creative, production and studio. This position is accountable for developing and maintaining accurate project schedules, obtaining all necessary approvals, and delivering creative assets.  Keys to success in this position include commitment to regular internal and external communication, willingness to pitch in and consistent status updates on all projects.


 What you will be doing:

  • Liaise between project manager/account team, media team, production studio and vendors
  • Maintain directory of vendor contacts, specs, and ad submission requirements/protocol
  • Update and maintain production specs and contacts; as well as sales reps by vendor
  • Build projects within project management software (Basecamp) to track project deadlines and communicate specifications for print, digital, outdoor, radio, and TV advertising to teams
  • Keep Basecamp updated with latest information as it pertains to trafficking
  • Send all creative materials needed for each insertion to vendor by the deadline
  • Garner deadline extensions, proofs, and approvals from vendors as needed
  • Maintain organized files and reference materials
  • Work closely with media team to further develop media experience
    • Order media within STRATA buying program by creating insertion orders and sending to vendors
    • Work to develop full understanding of STRATA buying program and client billing process
    • Assist with other duties as needed
  • Create and take part in a positive work environment. Participate in departmental and agency functions/projects – nurture the agency culture and build strong internal relationships
  • Administratively support senior leaders within in the Kansas City office


What we need from you:

  • 2 – 3 years of experience in project or traffic management within an advertising agency or in-house marketing team
  • Willingness and resourcefulness to do what it takes to see projects through to completion
  • Excellent organization and communication skills
  • Exceptional attention to detail
  • Demonstrated ability to work as a problem solver and a team player
  • Must be collaborative, creative, outgoing and willing to work as part of a team to meet client objectives
  • Ability to prioritize, multitask and execute with minimal supervision
  • Proactive, self-starter that can maintain an upbeat positive attitude
  • Excellent written, oral & proofreading skills
  • Ability to diplomatically enforce deadlines
  • Ability to solve problems in an efficient and professional manner
  • Strong work ethic and commitment to quality in their work
  • Strong computer skills with the ability to utilize and enhance existing project management software
  • Knowledge of media buying, Microsoft Office, Google SEM and graphic design software is a plus
